Project: Ontario Long Term Care Clinicians (OLTCC)
Role: Web Developer & AMS Integrator Focus: Medical Education (LMS), Regulatory Compliance, Membership Management (Wild Apricot), Hybrid Event Tech
Project Overview The OLTCC is the leading voice for physicians, nurse practitioners, and pharmacists in Ontario’s long-term care sector. The website is not merely a brochure but a critical operational hub that manages Ministry-mandated training. The project involved creating a seamless digital ecosystem that integrates a public-facing WordPress front-end with a robust Wild Apricot backend to handle complex membership tiers, high-stakes course registration, and annual conference logistics.
Key Deliverables & Features
- Mandated Education Portal (Medical Director Course): The site serves as the gateway for the Ministry of Long-Term Care’s mandated training for all Medical Directors in Ontario.
- Course Logic: A specialized registration flow handles the complex eligibility requirements for the “Medical Director Course,” ensuring that incoming directors can access the curriculum required for their role.
- Hybrid Delivery Support: The platform supports both in-person and virtual course delivery, managing Zoom links, digital materials, and post-course surveys required for certification credits (Mainpro+).
- Seamless AMS Integration (Wild Apricot): To streamline administration for the volunteer board, the membership database is tightly woven into the user experience.
- Single Sign-On (SSO): Members log in once to access a unified dashboard where they can renew dues, update their clinical profile, and access tax receipts without navigating away from the branded site.
- Dynamic Member Directory: A “Find a Clinician” feature pulls real-time data from the backend, allowing the public to verify the credentials and location of LTC practitioners.
- Conference & Event Ecosystem: The site powers the “Practical Pearls” Annual Conference, the largest gathering of LTC clinicians in Canada.
- Complex Registration Engine: The system automates a tiered pricing model (Member/Non-Member, Student, Early Bird) and manages capacity for limited-seating workshops.
- Resource Repository: Post-conference, the site acts as an archive, hosting password-protected slide decks and session recordings for attendees.
- Gated Clinical Resources: To provide ongoing value to the membership, extensive “Members Only” libraries were architected.
- The “Living” Manual: Secure hosting of the “Medical Director Manual,” a constantly updated clinical resource that members rely on for best practices and regulatory updates.
- Advocacy Hub: A centralized section for “COVID-19 Updates” and Ministry directives ensures that clinicians have immediate access to critical, time-sensitive public health information.
The Outcome The OLTCC website has transformed from a simple association page into an essential utility for Ontario’s healthcare providers. It successfully automates the heavy administrative burden of course registration and membership renewals while ensuring that Ontario’s LTC Medical Directors have reliable access to the education they are legally required to complete.
